Comparing an Alternative Software Product

Start a software comparison with the reason you are considering a change. Name the task that is difficult today and the result a replacement would need to demonstrate.
Use the same test for each option
Prepare a synthetic example and a written acceptance checklist. Keep inputs and expected results consistent. Ask the demonstrator to identify which features are available in the quoted offer and which need a separate agreement.
Check how you would leave
Ask what information you can export, in what format and under what conditions. Inspect a sample export if one is available. A readable screen does not establish that its underlying records can be transferred usefully.
Read the commercial scope
Compare included features, limitations, support terms and any usage-based charges using current written material. Do not rely on an old price table or assume that a product described as cheaper has the same scope.
